Create New Client

1.0 Create a New Client

  • Click the ‘Clients’ button menu option on the Navigation Panel.
  • Click the ‘New Client’ menu option under ‘Clients’.
  • Follow from Step 2. Edit a Client (below).

2.0 Edit a Client

2.1 The Details Panel

FIELD NAMEDESCRIPTION
LogoClick the ‘Browse’ button to upload a logo image to appear in places such as the Client list.
Client Full NameEnter the Clients full official name, as it appears on the ABN register.
Client Short NameEnter a short version of the name to display in lists.
Account NumberAllows entry of single-line free text.
DescriptionEnter a description of the Client.
ActiveA checkbox indicating whether the Client is active. Certain functionality is disabled when a client becomes inactive.
Client TypeAllows selection of a Client Type from the available options.
NotesAllows entry of multi-line free text.

2.2 The Invoicing Groups Panel

ℹ️

The Invoicing Groups section covers the Accounting/Invoicing aspect of the Client.

FIELD NAMEDESCRIPTION
ActiveSets whether this Invoicing Group is active and can be selected on invoices. By default, this switch is in the Active state.
PrimarySets whether this Invoicing Group is the primary one for this client. The invoicing Group set as primary will be prioritised when pre-populating Invoicing Group in various places.
ABNEnter the Australian Business Number for the Client.
NameEnter a name for Invoicing Group. Where invoices are directed to only one entity, as is usual, this can be the Client’s name. Note: This field will appear on the Invoice PDF, therefore it is necessary to include the debtor’s official name in this field.
Contract Number OverrideAllows the entry of an alternative Contract Number to replace the Contract Number field when the invoice is exported to the JIWA accounting package.
Default EmailEnter the Clients main Accounts email address. This email address will receive invoices generated by CBC.
Default Invoice Delivery MethodSelect the means of delivering Debtor Invoices to the Client (Via Email or Post)
Postal AddressEnter Client’s Postal Address.
Billing AddressEnter Client’s Billing Address. (Check the Box, if the Postal Address is same as the Billing)

2.3 The Document Management Panel

Use this section to attach documents, such as client information, to the Client.

  • Click the button to add a Document.
  • Enter the details on Pop-up Form
FIELD NAMEDESCRIPTION
Document TypeSelect one or more Document Types from the list.
TitleEnter a title for the Document.
Document StatusSelect a status for the document. For CBC users, this will default to ‘Approved’. When external users upload a document, this will default to ‘Proposed’.
FileDrag-and-drop a file into the Dropzone or click on the Dropzone to browse for a file.

2.4 The Contacts Panel

The Contacts Panel holds fields for contact details for the Client.

Link to Client Contact ListClick the ‘Link the Client Contact List’ link to navigate to the Client Contact List.
Default Contact Centre Contact PointPhone Enter a phone number for the Client.
FaxEnter a fax number for the Client.
EmailEnter an email address for the Client.

2.5 The Permissions Panel

Hide External Providers from Client UsersThis setting allows the masking of external provider names with ‘CBC Group’ when displayed to this Clients Users. For example, ‘CBC Group’ will display for the Provider field on the Work Order view, if the assigned provider is an external provider. Internal Provider names are displayed as normal.
Role Availability
Roles AvailableA multi-select control that allows an administrator to select which CMMS roles the users of this Client may be assigned.
Default RoleA single-select control that allows as administrator to select which CMMS role should be assigned by default for new users of this Client.

2.6 Save Client

  • When all required information has been updated, click the ‘Save’ button to save and update the Client.
